Dr Radiator is the trading name of Mark David Doughty, a sole trader. We provide heating-system cleaning, maintenance and related services.
For data-protection purposes, Mark David Doughty trading as Dr Radiator is the controller of the personal information described in this notice.

2. What this notice covers
This notice explains how we use personal information when you contact us or ask for a callback; request a quote, book or receive a service; buy a product or create a customer account through our website; submit heating-system results or use an online service provided through our website; or browse our website and make cookie choices.
3. Information we may collect
Depending on how you deal with us, we may collect your name, email address, telephone number and postal or service address; your preferred callback date or time and the contents of your enquiry; quote, booking, service, order, account, payment-status and correspondence records; heating-system information and results or photographs you choose to submit; technical information such as IP address, browser/device information, security logs and cookie choices; and other information you choose to give us that is relevant to your request.
Please do not include unnecessary sensitive personal information in a free-text form.
4. Why we use it and our lawful basis
We use information:
• to respond to an enquiry, callback or quotation request, or take steps you ask us to take before booking — contract, including steps requested before entering a contract;
• to arrange and provide services, administer orders and customer accounts, and communicate about them — contract;
• to keep accounting, tax and legally required business records — legal obligation;
• to protect the website, prevent misuse, maintain records and establish, exercise or defend legal claims — our legitimate interests in operating and protecting the business, provided those interests are not overridden by your rights;
• to use non-essential analytics or similar cookies — consent obtained through the cookie controls, where required; and
• to send electronic marketing — consent, or another basis permitted by electronic-marketing law where applicable. You can opt out at any time.
We do not use a form acknowledgement as consent to marketing.
5. Who receives your information
We share personal information only where necessary with service providers that help us operate, including:
• Webador, for website hosting, website forms, customer accounts and online-shop functions;
• Jotform, for guided assessment and test-results forms;
• Google Analytics, where enabled by your cookie choice;
• hosting and communications services supporting customer dashboards, reports and partner portals;
• payment providers used during checkout;
• professional advisers, insurers or public authorities where necessary; and
• another party where the law requires or permits disclosure.
Payment information is handled by the payment service offered during checkout. Dr Radiator does not need to receive or retain complete payment-card details. We do not sell personal information.
6. International transfers
Some service providers may process information outside the United Kingdom. Where this happens, we require an appropriate UK data-transfer safeguard, such as processing in a country covered by UK adequacy regulations or use of approved contractual protections. Further information about a particular safeguard is available on request.
7. How long we keep information
We keep information only as long as needed for its purpose and for legal, accounting, warranty, insurance or dispute requirements. Our normal periods are:
• general enquiries and callback requests that do not become bookings — 12 months after closure;
• quotes that do not become bookings — 24 months after expiry or last contact;
• booking, service and contractual records — six years after the service or contract ends;
• orders, invoices and accounting records — six years after the relevant tax or accounting period;
• heating-system results, dashboard reports and submitted photographs — while the account is active and for 24 months after closure, or six years where part of a contracted service or dispute record;
• customer and partner portal accounts — while active and for 24 months after closure, unless longer retention is required;
• security and technical logs — normally no more than 12 months, unless needed to investigate an incident;
• analytics information — up to 14 months;
• cookie choices — up to 12 months before consent is requested again; and
• marketing preferences — until consent is withdrawn or marketing stops. A minimal suppression record may be kept to respect an opt-out.
When information is no longer required, we delete or anonymise it securely.
8. Your data-protection rights
Depending on the circumstances, you may have rights to be informed; request access; correct inaccurate or incomplete information; request erasure or restriction; object to processing based on legitimate interests or for direct marketing; receive certain information in a portable format; and withdraw consent where we rely on consent.
These rights are not absolute. Contact us using the details above to exercise a right. We may need enough information to verify your identity and locate relevant records.

10. Cookies
Our website uses necessary technologies for functions such as security, checkout, accounts and remembering privacy choices. Optional analytics technologies, including Google Analytics where enabled, are used only in accordance with your cookie choice. You can accept, reject or change optional-cookie preferences through the website's cookie controls. Rejecting optional cookies does not prevent access to the main website.
11. Marketing
We do not treat a service enquiry, callback request, purchase or privacy acknowledgement as permission for unrelated electronic marketing. If we offer marketing emails or texts, we provide a separate choice where required, and every marketing message explains how to opt out.
12. Children
Our website and services are intended for adults. We do not knowingly seek personal information from children under 18. Please contact us if you believe a child has provided personal information.
13. Automated decisions
We do not make solely automated decisions about people that produce legal or similarly significant effects. Automated assessment calculations may generate heating-system information and recommendations, but do not make legally or similarly significant decisions about an individual.
14. Security
We use appropriate organisational and technical measures designed to protect personal information. No internet transmission or storage system can be guaranteed completely secure.
